We currently have an opportunity to join the Laurier community as an Administrative Assistant- MS2Discovery.

The Interdisciplinary Research Institute for Mathematical and Statistical Modelling in Scientific Discovery, Innovation and Sustainability (MS2Discovery) is a hub for interdisciplinary research, collaboration, communication and education. The institute has the broad aim of serving as the focal point for activities that integrate mathematical and statistical modelling with other disciplines, industry, public policies and developments in society. The institute is a platform for enhancing the research experience of faculty, students, post-doctoral fellows, and visiting scholars. The institute also aims to increase the social awareness of the key role played by mathematical and statistical modelling in our society.

The part-time Administrative Assistant position provides administrative support to the MS2Discovery Research Institute and will interact with a broad variety of individuals including faculty and staff from both Laurier and other external academic institutions, students, researchers and guest speakers. Key responsibilities include general administrative support, seminar series and event planning and management, and financial administration. The successful applicant will work under the supervision of and in collaboration with the Directors of the MS2Discovery institute.

Accountabilities : Administrative Responsibilities

  • Manage mailing lists, process incoming and outgoing mail, packages and other materials
  • Order office supplies, materials and services
  • Oversee paper and electronic office filing systems and record management
  • Assist the director in preparing the annual report
  • Provide basic orientation to new students working for the center
  • Maintain publication database of the institute
  • Public Relations
  • Manages social media platforms and other social relation activities
  • Serve as the point of contact for members of the institute
  • Ensure visual identity standards for all public relation communications
  • Maintain an orderly and welcoming office environment
  • Greet visitors with pleasant and professional demeanor
  • Seminar and event planning and management. Assist the institute with seminar series organization and additional internal/external events including:
  • Booking rooms
  • Catering orders
  • Advertising seminars and other events
  • Upload videos on Youtube or similar platforms
  • General hosting of guests, including itinerary, hotel and travel accommodations
  • Financial administration. Assist in the preparation of
  • Expense and travel reimbursements
  • Payments to vendors
  • Payments of grants and awards
  • General budget tracking
Qualifications :

 

  • High School diploma plus one year of postsecondary education and one year of relevant administrative experience.
  • Must be able to represent the MS2Discovery Institute in a professional manner.
  • Proficient computer skills and current working knowledge of necessary software packages.
  • Familiarity with using various social media platforms (twitter, Facebook, YouTube, etc.).
  • Ability to learn to use new software.
  • Strong organizational skills and attention to detail.
  • Ability to work independently and organize own work.
  • Ability to be proactive and self-motivated.
  • Ability to prioritize and multi-task.
  • Excellent written and verbal skills.

Grade : WLUSA-04
Salary : $23.62 – $27.76
Salary Notes : The normal hours of work are 10.5 hours/week. The normal hours of work are 8:30 am to 12:00 pm, Monday Wednesday and Friday. On occasion hours may be rearranged in preparation of special events.

This position is eligible for eduation equivalencies.
