We currently have an opportunity to join the Laurier community as an Administrative Assistant/Receptionist.
Reporting to the Manager, LEAF, the Receptionist’s main responsibility is to provide front-line service and referral to students and visitors at Laurier International, Brantford. The incumbent will provide receptionist support for approximately 20 staff of Laurier International, Brantford.
The position requires strong cross-cultural communication and friendly interaction skills in order to ensure that students’ expectations and needs are understood and managed in a supportive manner. The Receptionist must be able to interact effectively with students who speak English as an additional language and are unfamiliar with the local area. Since the majority of clients the Receptionist will be serving are international students, the incumbent must have an understanding of the challenges associated with the transition to life and study in Canada in order to anticipate the needs of international students who may not be able to fully articulate their request for support.
Greet, assist and/or direct students, visitors and the general public who come into Laurier International with tact, sensitivity and in a comfortable manner
Briefly assess/triage students’ requests according to urgency and refer to staff as appropriate
Arrange opportunities for those requesting meetings with Laurier International staff
Monitor queries by phone and email and direct stakeholders as appropriate; take adequate messages when required
Direct students and support them in accessing information, including supporting students accessing information from Citizenship and Immigration Canada and the University Health Insurance Plan websites
Provide support as requested to management team of Laurier International (Director, Global Engagement; Associate Director, International Student Support; Manager, Global Engagement Programming; Manager, LEAF)
Coordinate installation, repairs and maintenance of office equipment
Maintain an organized, tidy office environment including storage room, files, and student lounge area; monitor usage and stock of office supplies and materials and place orders when required
Act as the ShopLaurier point person for all LI Brantford staff
Provide support to programs delivered by Laurier International staff and volunteers and demonstrate willingness to help out when necessary, including providing logistical and planning support for projects under the oversight of the Manager, LEAF
Maintain the promotional television screen at Laurier International
Adhere to strict confidentiality about all work and student-related issues
Act objectively and in the best interest of Laurier International in all situations
Communicate positively and directly with students and staff while encouraging the same from others
Assist staff who are managing students in crisis
Perform other duties as assigned by Manager, LEAF
Secondary school plus a minimum of two years’ related experience working with international students in a post secondary education environment.
Demonstrated ability to interact and communicate effectively with students who speak English as an Additional Language
Demonstrated ability to understand and anticipate the needs and supports for students who are undergoing a transition to life and studies in Canada
Demonstrated ability to support staff in their efforts to serve the needs of students (international and domestic) served by Laurier International
Demonstrated respect for people whose social, religious, or political background may be different from own
Demonstrated ability to work co-operatively in a tightly knit team of staff and volunteers with varied missions
Knowledge of Laurier International, its operations, and the university community, especially the Brantford campus
Ability to handle money, making deposits, and reconciling financial transactions; ability to work and negotiate with suppliers
Demonstrated abilities in problem solving, multi-tasking and prioritizing
Demonstrated abilities in customer service, public relations and managing difficult situations with patience, diplomacy and tact
Excellent organizational skills including experience planning and scheduling
Proven ability to work under strict deadlines with multiple interruptions
Proven ability to adapt to changing priorities, remaining open-minded to changing circumstances and new information
Ability to understand and manage confidential material
Ability to work flexible hours, including evenings and weekends as needed
$41,058 to $51,322 per year
Salary Notes :
This is a full-time, limited term leave replacement until October 25, 2018.
