Administrative Secretary
Shkaabe Makwa, CAMH

Position Description:
Shkaabe Makwa at the Centre for Addiction and Mental Health (CAMH), works with Indigenous partners across Ontario to support the province’s Comprehensive Mental Health and Addictions Strategy and create sustainable, system-level change. With offices across the province, Shkaabe Makwa is on the ground, collaborating with First Nations, Inuit and Métis service providers to build a better system through our work in implementation, knowledge exchange, research, evaluation, information management, health equity and engagement. Shkaabe Makwa is seeking a First Nation, Inuit or Métis person for a full-time, contract (until March 31, 2022) position as the Administrative Secretary. The Administrative Secretary provides administrative and secretarial support to the Workforce Development and Wellness Innovation teams within Shkaabe Makwa. Reporting to the Assistant Manager, you will work closely with program staff and management in supporting their administrative activities. Your duties will include planning, scheduling and organizing meetings; booking venues and catering for events; organize travel arrangements; drafting letters and contracts. You will also have a strong understanding of social media and be responsible for supporting and monitoring social media channels. Your duties will also include preparing presentations and other documents, taking meeting minutes and other administrative duties as required.

Qualifications:
This position requires the incumbent to be First Nations, Inuit or Métis. The successful candidate will possess a post-secondary diploma (or working towards), and atleast two (2) years of secretarial/administrative experience. Excellent event planning skills, as well as financial administration skills, in order to be able to track actual spending against conference project budgets. Possess strong writing skills, including the ability to proof read documents, write meeting summaries and other documents for both internal and external audiences. Superior interpersonal, organizational, problem solving, and client-centered skills, detail-accuracy oriented, particularly while working under high-pressure situations, and dealing with conflicting priorities. You are able to demonstrate utmost confidentiality in all situations and have the ability to work as a member of a larger team. You will be able to multi-task, and work efficiently and effectively under minimal supervision, while being adaptable to different styles of leadership. Excellent organizational, planning and time management skills. Demonstrated commitment to principles of equity, inclusivity, respect and social justice. Demonstrated success working within interprofessional teams and in partnerships with groups such as Indigenous service providers, people with lived experience and decision-makers. The ability to work with clients and stakeholders of diverse cultural and social backgrounds is necessary. Familiarity with Ontario’s Mental Health and Addiction system/services. Strong PC software skills including experience with Microsoft Office (Word, Access, PowerPoint, Excel), internet search and an ability to learn new programs quickly. Experience using web-based survey tools (Survey Monkey) is an asset. Experience using webinar/meeting hosting programs such as WebEx is an asset. Bilingualism (French/English) and/or the ability to speak an Indigenous language is also considered an asset.

Salary Range: $27.24 – $31.40 per hour
