Indspire is a national Indigenous-led charity that invests in the education of Indigenous people for the long term benefit of these individuals, their families and communities, and Canada. With the support of its funding partners, Indspire disburses financial awards, delivers programs, and shares resources with the goal of closing the gap in Indigenous education. Through Indspire’s K-12 Institute, it provides resources to educators, communities, and other stakeholders who are committed to improving outcomes for Indigenous youth.

We are currently recruiting for an Executive Assistant, Education. In this role, you will report to the Vice President, Education. You will be responsible for providing senior level executive and administrative support to the Vice President, Education, along with the coordination of administrative activities of the Education Department.

The position responsibilities of the Executive Assistant, Education include:

Key Duties

  • Provides senior level administrative support and advice on key initiatives within the Education Department.
  • Maintains awareness and understanding of Indspire’s goals, plans and activities in order to anticipate the needs and priorities of the VP and provide support accordingly.
  • Coordinates and monitors all assigned programs within the Education Department.
  • Organizes and schedules VP’s overall agenda; schedules appointments, maintains VP’s daily calendar and business travel, as well as monitoring and following up on important meetings and event dates within the Department.
  • Researches and prepares materials for VP’s various commitments, in advance of meetings.
  • Schedules, coordinates and when requested represents Indspire at external meetings with private and public sector sponsors.
  • Prepares various related materials including general correspondence, contracts, agendas, presentations, briefing notes, reports in preparation for VP’s internal and external meetings.
  • Receives, filters and responds to telephone calls or written requests, determines need for VP’s involvement and/or directs to appropriate resources.
  • Coordinates VP’s speaking engagements, including providing appropriate materials.
  • Makes VP’s travel arrangements, monitoring and dealing with conflicting or complementary appointments.
  • Prepares, monitors and reconciles VP’s visa statement and expense reports.
  • Oversees the work of an Office Administration Clerk and, when necessary contract staff or students.

Qualifications

  • Completion of a two year community college program in relevant field (education, or administration) or equivalent.
  • Progressive experience, usually demonstrated through 4-5 years’ in providing administrative assistance to an executive in a similar environment.
  • Knowledge of the issues affecting Indigenous peoples and experience in Indigenous communities preferred.
  • Knowledge of general administrative procedures.
  • Ability to conduct research and provide effective administrative support
  • Proven organizational skills to ensure issues are managed within specified timeframes
  • Ability to exercise discretion, judgement and demonstrates a high level of professionalism
  • Experience with MS office suite, strong skills in Power Point and Excel; experience with MS Projects and Gantt charts.
  • Experience with data-bases; building queries.
  • Ability to deal with difficult situations and at times work with difficult people.
  • Strong writing skills; ability to speak and write in French an asset.
  • Demonstrates problem solving and analytical skills
  • Able to work and make decisions independently and without direct supervision
  • Ability to demonstrate initiative and work without supervision in a team environment.
  • Ability to communicate effectively with a variety of people, including senior executives, sponsors and government officials.
  • Ability to work with sensitive information with complete confidentiality.
  • Occasional travel between Six Nations and Toronto offices is required.
  • Must be able to work occasional evening and weekends and possess a willingness to travel within Canada.
