JOB SUMMARY

Reporting to the Executive Director, the Senior Director, Corporate Services plays a leadership role in partnering with the senior leadership team to ensure that the overall operations of the organization supports the strategic direction of the organization.

The Senior Director, Corporate Services leads a team of specialized services that provide cross functional support to the rest of the organization and ensures that they are well aligned and positioned to deliver on the broader organizational mandate. These services include Finance and Administration, Communications, Research (Inuit Qaujisarvingat), and Human Resources.

KEY ACCOUNTABILITIES

Through Directors and Managers within the Corporate Service support areas, the Senior Director provides strategic and integrated leadership and oversight as outlined.

OPERATIONAL PLANNING & MANAGEMENT: 

  • Provide leadership and assume overall responsibility for the operational management of corporate services;
  • Ensure ITK leadership has administrative, technical and research support in order to carry out an effective and focused effort to raise awareness of Inuit issues within Federal, Provincial and Territorial Governments and Canadians;
  • Consult and engage the President, Management Team (Executive and Directors) where appropriate to meet the overall objectives of the organizations mandate;
  • Provide internal operational advice to the ITK leadership in conjunction with department directors; contribute to the development, implementation and evaluation of long and short-term plans for ITK;
  • Supervise and manage performance of Directors within corporate services; ensure accountability within their roles by providing regular feedback and conducting annual performance evaluations;
  • Oversee the development and implementation of annual budgets consistent with the Organization’s Strategic Plan and direction from the Board;
  • Ensure the integrity of ITK’s finances; participate in preparing annual budgets, financial reviews, updates and quarterly reports to the ITK leadership; ensure sound financial management controls are in place;
  • Conduct regular evaluations of corporate services to ensure that functions, roles, processes and positions are aligned with the strategic objectives;
  • Participate in recruitment, interviews and selection as needed;

STRATEGIC PLANNING & LEADERSHIP:

  • Provide input into the development and implementation of ITK’s overall strategic plan specifically through supporting operational plans, i.e. fundraising, communications, advocacy etc., within the context of a national organization and in conjunction with various stakeholders;
  • Maintain strong and effective linkages with regional Inuit land claim organizations, other key Inuit and Aboriginal organizations;

FINANCIAL MANAGEMENT:

  • Work with the director of finance to ensure the provision of accurate, timely and strategic financial advice, insight and analysis
  • Oversee regular financial reporting and analysis, annual budgeting processes, and collaboration with organization and department leaders on related budget allocations, management responsibilities and accountabilities, including the management of the organization’s cashflow, forecasting and investments
  • Ensure the implementation and management of a financial management reporting system that fully meets the ITK’s needs and those of the departments
  • Lead the development and maintenance of financial policies and procedures, the implementation of all necessary accounting practices, and ensures compliance with all applicable laws and regulations

ADMINISTRATION:

  • Oversee all matters related to ITK’s facilities and ensures liaison with the building landlord
  • Ensure all practices and policies related to office security and access are implemented and maintained
  • Oversee the management of telephones, cell phones, computer related equipment, corporate and capital assets, office supplies, office equipment and related inventories
  • Lead the team responsible for negotiation and management of contracts, relationship management of external vendors and suppliers
  • Ensure a consistent and effective delivery of administrative and reception services for ITK

COMMUNICATIONS:

  • Oversee the development and implementation of the Corporate Communications Plan, Media Relations policies, Social Media and web-based strategic communications
  • Ensure the implementation of key communications activities related to events management and fundraising and sponsorship
  • Ensure that all communications initiatives align with ITK’s mandate to advance the rights and interests of Inuit

RESEARCH:

  • Work with the director of Inuit Qaujisarvingat to oversee the development of the Research Strategy and Policy Framework for the organization; this includes the development of policy programs and areas that improve the lives of Inuit across Canada
  • Ensure that processes and research expertise is integrated through the organization
  • With the directors, lead a team of Research specialists that delivers on key initiatives and policies that may include culture, health, social, economic development, environment and/or education

HUMAN RESOURCES:

  • Ensure the development and implementation of human resources strategies that are in line with ITK’s goals and objectives
  • Oversee ITK’s HR function and ensures that organizational capacity and effectiveness is developed and maintained through driving strategies and initiatives that cover all facets of Human Resources including talent acquisition, training and development, employee relations, compensation, benefits and performance management
  • Ensure the development and implementation of policies, procedures and practices that align with current best practices, and are compliant with relevant employment laws and regulations

MANAGEMENT OF STAFF

  • Provide leadership and operational management to Directors and Managers within the integrated Corporate Services model
  • Leverage internal talent and promote an integrated approach to work
  •  <!–[endif]–>Lead the development of job descriptions for direct reports
  • Ensure effective hiring, training, mentoring and development throughout the Corporate Services team in accordance with the ITK’s policies and best practices in Human Resources
  • Produce annual staffing plans for review and approval for the Executive Director
  • Provide advice, coaching and mentoring of Directors and Managers
  • Ensure that a similar level of advice, coaching and mentoring, cascades down to other managers and staff within the Department
  • Conduct annual performance appraisals for direct reports
  • Ensure that annual performances appraisals are completed for all employees within the Corporate Service function

BUDGETING

  • Develop annual departmental budgets in collaboration with the ITK leadership team and with consultation from Corporate Services Directors and Managers
  • Develop Corporate Services work plans and budgets
  • Authorize expenditures according to approved budget; ensure that the departmental expenses remain within budgeted amounts
  • Prepare revisions, as appropriate, to the departmental budget for review and approval by the Executive Director
  • Provide budget reports to the Executive Director as required

AUTHORITY

  • Approve invoices and claims which are consistent with approved budget(s) and approved mandate(s) for the Corporate Services Department
  • Expend up to $500 annually for representation purposes is authorized

Performs other duties as assigned.

QUALIFICATIONS

KNOWLEDGE AND SKILLS

  • Ability to identify key organizational issues
  • Strong advocate for financial processes and procedures
  • Business writing skills and verbal communication skills
  • Attention to detail, accuracy and quality of work required
  • Knowledge of the full scope of corporate services functions and activities
  • Ability to facilitate progressive organizational change
  • Judgement and creative problem-solving skills required
  • Ability to operate as an effective tactical as well as strategic thinker
  • Must have excellent oral and written communication skills (English required, Inuktitut and/or French a definite asset)
  • Computer skills in Microsoft Office (Word, PowerPoint, Excel and Access), Internet e-mail

EXPERIENCE

  • 10+ years of work experience in similar positions; with some experience working in the non-profit sector
  • 5+ years of experience managing a team
  • Experience working with Boards of Directors in non-profit organizations
  • Familiarity with non-profit finance and accounting regulations

EDUCATION

  • Bachelor’s Degree in Business Administration or Commerce;
  • Accounting Designation (CGA, CMA, CPA, CA)
  • Or any combination of education and experience providing the required skill and knowledge for successful performance is evident.
