Human Resources- Support Officer

Location: Anishinabek Nation Head Office, Nipissing First Nation

Salary Range: $59,811 to $67,786
Full-Time Position with Benefits
(after successfully completing 3 months of employment)

Reporting to the Human Resources Director, the Human Resources Support Officer provides administrative and clerical support in the delivery of Human Resources Department functions. This includes maintaining employee records, promoting initiatives, organizing recruitment efforts, and supporting employee relations, in alignment with the Human Resources policies and procedures of the Union of Ontario Indians.

QUALIFICATIONS:

  • Post-secondary education in Human Resources, or Business Administration, or a related field;
  • Two years’ experience in a Human Resources role or related administrative field;
  • Experience with Human Resources Information Systems;
  • Knowledge of Human Resources procedures and practices, legislative provisions regarding recruitment, employment equity, compensation, and health and safety;
  • Experience working in a First Nations or Indigenous-governed organization, is preferred;
  • Proficiency in Microsoft 365 Office (Outlook, Word, Excel, PowerPoint) and adaptability to new technologies; and
  • Valid Ontario driver’s license and be insurable under the organization’s vehicle insurance policy.

  • Strong customer service and front-line engagement abilities;
  • High attention to detail and accuracy; with strong analytical and problem solving abilities;
  • Ability to handle sensitive and confidential information with discretion and integrity;
  • Adaptable with a quick learning capability;
  • Able to prioritize tasks, take initiative and work independently; and,
  • Knowledge of Anishinaabemowin or willingness to learn.

RESPONSIBILITIES:

  • Assisting the Human Resources team in the coordination of Human Resources functions and activities;
  • Providing administrative support throughout the recruitment process, including posting job advertisements, preparing screening packages, scheduling interviews, and conducting reference checks;
  • Preparing onboarding information for new employees, including new hire documents, and mandatory training;
  • Assisting in the preparation of performance review materials and tracking performance management schedules;
  • Responding to internal and external human resources related inquiries or requests;
  • Assisting with the organization of training sessions, as required;
  • Preparing updates as required to relevant policies, directives, guides, and forms, as required;
  • Providing support to Human Resources projects and initiatives;
  • Providing general administrative support such as coordinating meetings, taking notes, filing, drafting and reviewing correspondence and contracts;
  • Administering the Human Resources Information System (HRIS), including responding to inquiries, providing training and support;
  • Assisting with the maintenance and updating of the HRIS as required;
  • Collecting and maintaining personnel information and confidential employee files to ensure compliance with documentation requirements;
  • Compiling and preparing reports and documents relating to personnel activities as requested;
  • Providing administrative support to the Joint Health & Safety Committee, including taking minutes and file management; and
  • Other duties as assigned by the Human Resources Director or the Human Resources Generalist.
