Job Description

Major Responsibilities:

  • Provides legal administrative and clerical support services for prosecution purposes related to the enforcement of various Chapters of the Toronto Municipal Code and various by-laws and statutes.
  • Formats documents, drafts letters for Supervisor/Manager signature. Prepares petty cash voucher.
  • Notifies witnesses and allocates evidence sheets
  • Types correspondence, notices of motion, court forms, affidavits, and other court documents
  • Formats documents according to prescribed legal requirements and submits same for review
  • Prepares and processes legal documents such as Evidence Act notification, affidavits, and evidence act letters for signature
  • Compiles information related to cases. Organizes evidence, pleadings, correspondence, factums, and trial briefs. Ensures that due dates and limitation dates are diarized
  • Coordinates the service of legal documents. Forwards document to process server or appropriate legal official upon receipt. Liaises with inspection staff to obtain necessary evidence, prepares charges, warrants, summonses and subpoenas. Processes Part 1 Offence Notices and prepares Part 3 summons
  • Reviews and processes requests for Court Action
  • Sets up and maintains correspondence, document, and case files and other legal material. Liaises with Legal Services concerning trial dates and provides files for legal action
  • Maintains litigation files and updates information on the status of cases and charges laid. Requisitions files from other Departments and certified copies of decision and By-laws. Arranges for certified title searches and corporate searches as required
  • Inputs data related to charge requests, coordinates and updates files to conclusion
  • Prepares ballots and administers polling processes for appropriate Transportation polling requirements
  • Familiar with the City of Toronto’s polling procedures as they relate to Right of Way Management
  • Prepares polling ballots, sends for translation and monitors files and tabulates results according to the city polling procedures. Corresponds with clients as well as city elected officials on status/results of poll prior to finalizing results

Key Qualifications:

Your application must describe your qualifications as they relate to:

  1. Extensive experience in providing administrative/clerical duties, preferably in a legal environment as it relates to court services.
  2. Secondary school or approved equivalent education and/or experience
  3. Experience with Microsoft Word, Excel, PowerPoint and Outlook, and the ability to learn new software applications
  4. Experience creating and formatting documents, reports, memos, summaries and statements relating to prosecution matters
  5. Considerable experience drafting, preparing and formatting correspondence, letters, detailed documents, charts, spreadsheets and presentations
  6. Considerable experience maintaining, retrieving and disseminating information using complex database systems and the ability to carry out data entry functions with speed and accuracy, while employing verification techniques
  7. Ability to work independently with minimum supervision, prioritize work schedule, complete assigned duties with timelines, and handle multiple projects and priorities

You must also have:

  • Knowledge of relevant policies, in-court procedures, regulations and legislation pertaining to court and prosecutions (i.e., Provincial Offences Act, Municipal Code, etc.) with good knowledge of legal and technical terms.
  • Knowledge of various by-laws related to the use of the public right of way.
  • Good organizational, problem solving and multi-tasking skills with the ability to plan, assess priorities and perform the work with little supervision.
  • Knowledge of information/records management and records management systems.
  • Excellent interpersonal skills with ability to communicate effectively, both orally and in writing as well as to act as a departmental representative and to liaise with all levels of judiciary, staff, legal profession, public, enforcement agencies and other external contacts.
  • Ability to exercise independent judgement, diplomacy and discretion in dealing with confidential matters.
  • Ability to work flexible and/or varied work hours.
