Job Description

AMENDMENT:  Please note that the key qualifications have been adjusted.

Reporting to the Production Manager, the incumbent will be responsible for developing, designing and implementing production strategies for City Cultural Events’ existing portfolio.

Major Responsibilities:

  • Maintenance of the production planning cycle and critical paths.
  • Preparation and Co-ordination of event logistics and documentation including site inspections and assessments, site plans, production schedules and technical co-ordination.
  • Design, develop and implement production strategies for specific events.
  • Implementation of infrastructure plans including Temporary power, Theatrical equipment (Audio, Lighting, Video systems), Staging and/or Scaffolding systems, and obtaining any applicable licenses, permits, road closures, traffic re-routing, equipment rentals, signage, and barricades.
  • Negotiates and contracts the participation of various public & private properties for various Special Events
  • Development of technical specifications and subsequent procurement of all technical requirements including, but not limited to, staging, lighting, audio, video, power, lifting machinery, infrastructure, and various special effects.
  • Technical direction of external production personnel including site managers, technical assistants, stage managers, audio, video and lighting technicians, special effects and pyrotechnic teams, artists, performers and various labour crews. Includes the on-site direction of the above personnel during the load-in, event and strike phases of each assigned event.
  • Co-ordination and implementation of safety and security, crowd control and insurance.
  • Supervises, motivates and trains assigned staff, ensuring effective teamwork, high standards of work quality and organizational performance, continuous learning and encourages innovation in others.
  • Supervises the day to day operation of all assigned staff including the scheduling, assigning and reviewing of work. Authorizes and coordinates vacation and overtime requests. Monitors and evaluates staff performance, approves salary increments, hears grievances and recommends disciplinary action when necessary.
  • Maintenance of partnerships with various City Services including Police, Fire, EMS, TTC, Emergency services and other City departments for all Toronto special events.
  • Develop, administer & monitor event operating budgets.

Key Qualifications:

  1. Post-secondary education in a discipline pertinent to the job function or an approved combination of education and experience, in event planning and co-ordination.
  2. Extensive experience in multiple disciplines within the field of technical entertainment production especially with outdoor event production.
  3. Considerable experience supervising staff, including planning, organizing, problem solving, decision making, coordinating, delegating and performance management.
  4. Considerable experience in budget monitoring and co-ordination.C
  5. Considerable experience in Microsoft Office programs (Word, Excel, Access, PowerPoint) as well as Adobe Acrobat is required. Working knowledge of AutoCAD 2014LT and Sketchup 2016– especially drawing & editing in 3-Dimensional space will be a strong asset.
  6. Highly developed oral and written communication and presentation skills with the ability to establish and maintain effective partnerships with other special events sections, staff, community groups, agencies and businesses in relation to the production portfolio.
  7. Superior analytical, interpersonal and conflict resolution skills.
  8. Flexibility, ability to thrive in a high-stress creative environment with frequent and competing deadlines, multiple tasks and high performance expectations due to the public profile of special events and its relationships with the political wing.
  9. Ability to take initiative and work independently, taking ownership of a project as well as being a strong team player in fulfilling the section’s and the division’s goals.
  10. Familiarity with relevant legislation in the area of Occupational Health and Safety, Employment Standards Act, AODA, and various applicable collective agreements as related to event production.
  11. Available to work occasional extended hours, evenings and weekend on event days as required.
